Please remember that JJJJS’s Privacy Policy and our use of your Personal Information only applies to the information you provide to us and we caution you to be sure that if you disclose personally identifiable information or personally sensitive data through use of the Internet such as through chat rooms, communities, bulletin boards or other public online forums, this information is not collected by JJJJS and is being collected and used by other persons or companies over which JJJJS has no control. General Definitions used in our Privacy Policy
· JJJ Janitorial Services (JJJJS) and its third party service provider or associates, as they may exist from time to time, including, without limitation.
· Collect - when we Collect Personal Information we mean to gather, acquire, or obtain such Personal Information from any source available to JJJJS and may also include Personal Information provided to us from third parties.
· Consent - means your voluntary and informed agreement with what is being done or proposed. Your Consent can be either expressed or implied. Express Consent is given explicitly, either orally, electronically or in writing. Express Consent is unequivocal and does not require any inference on the part of JJJJS seeking Consent. Implied Consent arises where Consent may reasonably be inferred from the action or inaction of the Customer or the employee.
· Customer - is you and means any individual who has an account with JJJ Janitorial Services and/or uses, has used, or applies to use JJJ Janitorial Services.
· Use – to use Personal Information within JJJJS for a specified purpose.
· Disclose - to make Personal Information available to others outside JJJ Janitorial Services.
· Personal Information - means any information that can identify a Customer and may be recorded in any form. For a Customer, the term includes, but is not limited to the Customer’s name, address, telephone number, gender, and correspondence sent by the Customer to JJJ Janitorial Services. In the case of employees, job applicants, or contractors, it may include, where applicable, employment history, salary, benefits, compensation or other information relating to an employee's past or current employment, but does not include the employee’s name, title, business address (including e-mail address) or business telephone or fax numbers.
Principle 1 – JJJJS’s Accountability
JJJ Janitorial Services (JJJJS) is responsible for all Personal Information under its control, including Personal Information disclosed to third parties for processing. We will designate an individual or individuals who will be accountable for JJJJS’s compliance with JJJJS’s Privacy Policy.
1. 1 JJJJS’s senior management is responsible for ensuring compliance with the provisions of this Privacy Policy. JJJJS’s senior management may designate one or more individuals to be accountable for fulfillment of JJJJS’s day to day collection and processing of Personal Information and may also appoint other individuals within JJJJS’s to be responsible for compliance with this Privacy Policy, in respect of its Customers and in respect of its employees and third party service provider.
1. 2 The identity of the individual(s) designated by JJJJS’s to oversee the compliance with this Privacy Policy are made known internally and will also be made available to our Customers upon their request.
Principle 2 - Identifying the Purposes for Personal Information Collection
The purposes for which your information is collected, used or disclosed shall be identified before or at the time the information is collected, used or disclosed. JJJ Janitorial Services will limit the collection and use of your information to the minimum we require to deliver superior service to you, our customer. This includes advising you about our products, services and other opportunities, and to administer our business.
Principle 3 - Obtaining Consent
Your knowledge and consent (express or implied) are required for the collection, use or disclosure of your personal information except where required or permitted by law.
Principle 4 - Limiting the Collection of Personal Information
Any personal information we collect from you is limited to those details necessary for the business transaction, as described further below, and we only collect this information using fair and lawful means.
Principle 5 - Limiting Use, disclosure, and retention of Personal Information
We will only use or disclose your personal information for the purpose for which it was collected - unless you provide us with consent to do otherwise or when it is required or permitted by law. We will not retain your personal information any longer than required to fulfill the needs of why we collected the information to begin with.
Principle 6 - Accuracy of Personal Information
Our commitment is to maintain your personal information as accurate, complete and up-to-date as is necessary for the purpose that we collected it for in the first place.
Principle 7 - Safeguarding Personal Information
At JJJJS, we are committed to protecting your personal information with safeguards appropriate to the sensitivity of that information.
Principle 8 - Openness about JJJJS’s Policies and Procedures
At JJJJS, we will answer your questions about our privacy policies, procedures, and our management of your personal information in as understandable and comprehensive format as possible.
Principle 9 - Providing Access to Personal Information
If you require details on your personal information at JJJJS, please send us a written request. Upon receipt of this request, JJJJS will inform you of the existence, use and disclosure of your personal information and will provide access to that information, except where the law requires or permits JJJJS to deny access. We will provide you information within a reasonable time period and provide an explanation if we are unable to meet your request. Some inquiries may entail a charge, but we will provide an estimate for the amount in advance.
Principle 10 - Challenging compliance and offering suggestions
A Customer or employee of JJJJS may direct any questions or inquires with respect to the Privacy Principles outlined above or about JJJJS’s practices used in its Privacy Policy to the designated individual accountable for JJJJS’s compliance.
JJJJS has put procedures in place to receive and respond to complaints or inquiries about the policies and procedures relating to the handling of Personal Information. The complaint process used by JJJJS is easily accessible and simple to use.

Disclosure to third party service providers
In the process of meeting the needs of you, our customer and providing the services you desire, JJJ Janitorial Services (JJJJS) may share your information with certain third party service providers for the following purposes: to verify and validate information that you have provided to us, to provide products and services directly to you, and to address customer service issues that you may have. We will use reasonable efforts to ensure that your personal information is used in a manner that is consistent with JJJJS's Ten Principles of Privacy Protection and our policy.
Examples of third party service providers would include credit card issuers and processors, credit reporting agencies, repair depots, warranty providers, certain manufacturers, suppliers of products used at your location(s), and various delivery services. All the information you provide to us is securely maintained and is kept strictly confidential to a level appropriate to the level of sensitivity of the information. We use a variety of security measures such as restricting employee access to files, data centers, and using locked file cabinets. In addition we make use of electronic security measures such as passwords, personal ID numbers and data encryption as appropriate.
All third party service providers and employees sign and adhere to JJJJS's Confidentiality Agreement and must conform to its privacy provisions. We subscribe to the general principle that only those service providers and employees that need to know the information in order to provide you services have access to your information.
JJJ Janitorial Services may disclose your information as permitted or required by law: examples of this would be:

When is my information removed?
We keep your personal information on file as long as we need it to provide you with a service and to meet legal requirements. When it is no longer needed we destroy the information or render it anonymous.
Should you desire, you can contact our Privacy Policy Officer and request that we remove your information from our records. We will make every reasonable effort to honour your request, however, we may retain some information you have requested to remove to prevent fraud, collect moneys owed, resolve disputes, and to comply with federal and provincial legal requirements.
Changes to our Privacy Policy
Our business constantly changes to meet the needs of our customers and as a result our policies and procedures pertaining to privacy and security are also subject to change. We reserve the right at any time to change or modify any of our practices, policies and procedures that relate to privacy and security.
